School Records: Registers and Files
Types of Record |
Every educational
institution, whether middle level or secondary, compiles school records.
There are five types of records kept in an educational institution. |
1. General Record: |
School Calendar, Log Book, Order Book, Visitor Book,
Teacher Leave Register, Register Day Master, Education Code, Register of
Deployment and Transfer. |
2. Financial Record: |
Cash Book, Salary, Benefit Register, Income &
Expenditure, Donation Register, Fee Receipt Register, Pay Bill Register, Fund
Register, Telephone Register |
3. Educational Record: |
Register Attendance of Students, Attendance of
Teachers, Public Examination Register, Register Schedule, File Certificate of
Arrival, Record of Educational Progress of Children, Register of Examinations
Internal and External, Register of Admission/Withdrawal, Register of
Execution |
4. Record Equipment: |
Register Goods, Register Library, Stationery Register,
Sports Equipment Register, Sports Ingredients Register, Science Register,
Stock Register, Register Newspapers, Magazines, Audio-Visual Aids. |
5. Record Correspondence: |
Transfer, Appointment, Training, Development, Circular
File Departmental, Register Component Certificate, Diary Register, Delivery
Post Register |
Up to Middle/High level school must have
at least the following registers: |
1. Register Attendance Students: |
Student attendance is recorded in this register on a
daily basis. At the beginning of the first class and at the time of school
leaving, two-time attendance is included. One of the benefits of attending
the last period is that children cannot run away from school during school
hours. Separate registers are compiled per class. Attendance, absentees and
leave are indicated by various special symbols in the attendance register
boxes. At the end of the month a monthly attendance report is prepared on
this register. |
2. Admission/Withdrawal Register |
This register is very important in any organization.
Students' data is entered in this register, so this register is an authentic
document in connection with the birth of students. |
3. Register of Statistics: |
A record of all the statistics of the school is kept in
this register. The data of specific duration which is required by the
department is sent to the officers on specific designed forms. It mentions
the following figures: 1. Total number of class wise students, 2. Total number
of students by nation, 3. Total number of students at high, middle and
primary level, 4. Number of scholarship recipients, 5. Estimates of
government grants, fees, donations, donations, library expenses,
miscellaneous income and expenses |
4. Stock Register |
All school supplies are registered in one register.
This register is called stock register. It includes the following details: 1. Name and description of the item purchased, 2. On
what date was it purchased? 3. Price, 4. From whom / where purchased, 5. By
whose order was it purchased? 6. In what condition was it purchased? 7. Where
was the purchased item kept or in whose custody was it given? 8. Officer's
signature for removal, 9. Signature of the officer for sale of old goods. 10.
Register check by Head Master at the end of each academic year. |
5. Library Register: |
Up to the middle level, schools do not have a regular
library, but space is provided for a few essential books. There are two types
of registers in the library, one is the register in which books are
registered and the other is the register on which books are given to
students. Books are kept subject-wise in institutions where there is a proper
library system. |
6. Logbook / Opinion Book: |
It is a register in which the inspecting officer
expresses his views during the inspection of the institution. In addition,
the officer also mentions some important data like statistics register. |
7. Salary Register: |
The salaries of all the employees in the school are
registered on this register. After registering the amount paid, a receipt
ticket is signed by the concerned employee. |
8. Teachers’ Data Register: |
A report containing the data of the teachers in the
institution is sent to the district office. This report can easily estimate
how many teachers are working in which school and how many seats are
available. In addition, how many teachers are on leave and how many are
nearing retirement. All the details are sent to the district administration
and all the details are entered in the register. |
9. Certificate File: |
Details of the certificate issued for leaving school
for any reason are attached to the file. Parents apply to drop out of school
and get a certificate from the headmaster. |
10. School Admission Form: |
An application is written in the name of the headmaster
for admission in the school on which a form is provided to the student. The
form is submitted to the school after the registration of relevant data on
this form. |
11. Progress Reports and Students Record: |
These reports should be prepared annually and provided
to the new teacher as the child moves to the next grade so that the teacher
does not have to re-evaluate the student. However, these progress reports are
not provided to parents or children. The numbers obtained by the children are
shown to the parents by their demand. |
